Pool & Splash Park Access & Registration
Due to state-wide capacity limitations, facilities will operate at 75% capacity until further notice.
To ensure the best user experience while also complying with local safety rules and regulations, all members (including infants and children) must register for a timeslot in advance. Walk-ups will not be accepted initially, but will be revisited once regular usage is assessed. Registration will remain open all the way up to the start of the timeslot, so if there is availability, you can register and head to the pool!
Timeslots are 1 hr. and 45 mins in duration (11 AM – 12:45 PM; 1:15 – 3 PM; 3:30 – 5:15 PM; and 5:45 – 7:30 PM.) Pools will be available for use throughout the entirety of the timeslot i.e., no designated break/lap swim time.
To ensure fair utilization, the following registration parameters are in place.
Weekdays (Monday – Friday): 1 timeslot per day, per person
Weekends (Saturday – Sunday): 1 timeslot per weekend, per person
- Registration opens approximately two weeks in advance.
- Please visit the CivicRec Registration Catalog beginning Saturday, May 15th at 9 AM to view available timeslots and register. If you have questions or need assistance, please email HOA@willowsford.com.
- Registrations for Sycamore Pool, Lodge Pool, and Splash Park are not interchangeable. Please ensure you register for the facility you intend to visit.
All members will be required to e-sign an assumption of risk waiver at the time of registration. Parent/guardian will e-sign on behalf of minors.
- As a courtesy to your fellow neighbors, if possible, please contact us at least 48 hours prior to your timeslot if you need to cancel your registration for any reason.
Registrations are not able to be rescheduled in the event of inclement or unexpected pool closings.
Check-In/Out
All members must check in with the pool attendant upon arrival in accordance with timeslot reservations. Walk-ups will not be accepted at this time (see above).
Members may arrive within 30 minutes of the start of the timeslot, always maintaining social distance, but will not be permitted to enter until cleaning and disinfecting is complete from the prior timeslot.
Pool staff will verify registration. Members should present photo identification upon request.
Members will be required to complete a health screening questionnaire upon arrival. This questionnaire may only be submitted by members over the age of 18.
Unaccompanied minors between 12 and 17 years of age visiting the pool without a parent/guardian must have a valid copy of the health screening questionnaire completed, signed/dated, and submitted electronically by a parent/guardian within 24 hours of arrival or preferably same day. The questionnaire must be submitted separately each visit.
At the end of each timeslot, lifeguards will blow whistles and all patrons must exit the pool and pool deck by way of a back and/or side gate. These exits will be clearly marked. Exiting through the pool house will not be permitted. This is to allow adequate time for disinfecting the restrooms and prepping for the next timeslot of patrons.
Safety & Disinfection
Please adhere to the instructions of the lifeguards and the pool policy found in the Amenity Usage Guidelines.
If your child is unable to swim, you must be within arm’s reach of your child at all times.
Rafts and inflatables are not permitted.
Lifeguards will clean and disinfect high contact surfaces such as railings, gates, bathrooms, etc. before each timeslot using disinfectant cleaners.
Hand-sanitizing stations will be placed throughout the pool deck and at the main entrances.
Restrictions
All persons 5 years old and up must wear a mask when entering, exiting, and moving around the facilities, except when in the water or entering the water. Per current Virginia guidelines, all persons who are not family members, must maintain six (6) feet of social distancing at all times when on the pool deck and ten (10) feet of social distancing when in the water.
Pool furniture will be limited. Feel free to bring your own chair if desired. Umbrellas will remain accessible.
Restrooms will be available.
Shower curtains will not be put up in the bath houses. Please arrive “swim ready.”
Caregiver Access
If a caregiver will be accompanying resident children to the pool in lieu of parent/legal guardian, please complete the Caregiver Registration Form at least two (2) business days prior. Caregivers are required to present photo ID to confirm they are registered. Since you will not be able to register your caregiver for a pool timeslot, instead, please register one (1) parent/guardian for a CivicRec timeslot and follow the applicable prompts to sign up your caregiver to attend in your place.
Guest Passes & Pool Party Space Rentals
Due to capacity limitations, we will not be providing guest passes or accepting pool party rentals for the 2021 swim season. We are closely monitoring the situation and will provide updates to the community, if and when, capacity limits are increased.
Swim Lessons
Group swim lessons will not be available this season, but we are working on a private lesson option and will provide more details when available.
Kayaks & Canoes
The boats at Willow Lake will be available for use beginning Saturday, May 29th through Monday, September 6th on a first-come, first-served basis during the pool operational hours.
Boat usage is free of charge. Prior to use, residents must visit The Lodge Pool front desk to check-in with their key fob, complete the boat usage agreements, and receive a ticket. Once checked-in, residents can head down to the boat shed by Willow Lake where they will provide the attendant with their ticket and receive assistance getting a boat and life vests.
Personal kayaks, canoes, and paddle boards are permitted on Willow Lake after following the above check-in process.
