Resident Board Member Update

Hello Everyone! 

As your newly elected resident board members, we wanted to open a channel to keep you informed about what's going on at the board level - from a resident/owner perspective. As you can imagine, Willowsford is a complex enterprise and we're very much in a "learning" mode. The HOA staff and other board members have been incredibly helpful in helping us get up to speed, though there has been a lot to digest. Earlier this month we attended our first full board meeting. The agenda included the financial audit for 2017, service area assessments, a request for an additional community garden and club, and a neighborhood watch committee. 
 
The HOA Board currently consists of three members from the "Developer" organization and two resident-elected members. When Willowsford becomes about 85 percent settled (the current trend line is about 2 years), the “Founder Control Period” will end, and the residents will elect the remaining three directors. Important to remember is that, although the Founder Control Period ends with election of these new directors, the Willowsford community will remain in the “Development and Sales Period,” during which the Developer retains important rights under the governing documents, in some cases a veto power and in others the necessity of its consent. The DSP continues as long as the Developer/Founder or any affiliate of the Founder owns property in Willowsford or has an unexpired option to expand the Willowsford community footprint. Nonetheless, it is critical that we -as a resident community - prepare for the transition. We'll need a lot of help, so be ready to answer the call once we get our plan together!  
 
We've received lots of ideas from owners over the past few months and really appreciate it. A few strong themes have emerged, including having resident input into design review processes, and transparency about what's happening within the community. More on these in the next update.  
 
Board meeting agendas, and minutes (once approved) are always posted on the WillowsfordLife website (in the Document Center). We hope to be able to put the Board’s document packet, less any proprietary information, online at least a few days before the meeting so you can better understand the context of each agenda item and decide if you need to weigh in, either by email or by attending. Keep in mind that every board meeting has an open forum early on the agenda where residents can share their concerns directly. Also, all residents may attend the entire meeting with the exception of a short executive session. So please feel free to come by!  
 
The next board meeting, Thursday, July 12, will be held in the evening, starting around 6PM. This start time should encourage greater resident participation.  
 
We want to make sure it's easy for anyone to voice their concerns and ideas. The primary outlet is always the HOA via hoa@willowsford.com. The team at the HOA is very responsive and board members are kept in the loop when appropriate.

Call for Volunteers

The HOA Board of Directors and Founder are interested in incorporating resident volunteers in the Design Review Process.  As Willowsford nears transition from the Founder Control Period, the Design Review Committee and process will be entrusted to residents. In preparation, we are currently seeking interested volunteers to participate, which may include feedback and recommendations for Design Guidelines, attendance at DRC pre-review and/or committee meetings. Currently DRC meetings are held during the day, every 3 weeks during the summer months.  Please email HOA@Willowsford.com if you are interested.

Pools Schedule

  • May 26, 2018 – September 3, 2018
  • Daily, including Holidays: 11 AM to 8 PM 
Key fob clarification for pool access:  Only one key fob is required for families to enter the pool.  All family members listed on your household registration form are listed under each key fob in the system.


Community Standards Inspection Reminder

The following sections in The Grove and Greens can expect to see Fatima and Kirk over the next few Months: Grove 3A; 3B, 4A, 4B, 5; Greens 3, 4A, 4B, 5A. Click here to determine what section your street is in. Kirk and Fatima will be dressed in Willowsford Gear and/or wearing an ID lanyard. You can expect to see them taking pictures and walking along the property.

The Board of Directors meets every other month. The next board meeting is scheduled for Thursday, July 12th at Sycamore House. Open session and resident comment period expected to start at 6 PM.

4th Annual Family Picnic & Fireworks

Tuesday, July 3rd from 6 to 9:30 PM on the Lodge Lawn.  Celebrate the spirit of community with family friends and neighbors on the eve of our nation’s birthday.  Enjoy an evening of fun activities including a family picnic, 11 food trucks, live music from Low Low Chariot, beer and wine, face painting, glitter tattoos and bubbles.  End the day with a finale of lakeside fireworks!  Bring a blanket and lawn chairs and have fun!  All attendees 18+ must bring a valid ID to enter the event.
