Board of Directors Meeting Summary
We want to provide a summary of the most recent HOA Board of Directors meeting for everyone. There were several contracts renewed or extended, some minor revisions to policies, such as prices for key fob replacement. Important to remember is that the open session written materials are posted - with a few exceptions - in the Document Center of the Willowsford website several days before the board meeting. We encourage you to look over these materials and let us have your thoughts. As an example, several of you commented about the common area sprinkler system running even during rainfall. The community manager heard you, put the item on the board’s agenda, got the board to sign-off, and has moved to install rain sensor devices. So – thank you and please keep those thoughts coming!
These resident board member updates are also archived in the Document Center. There were also several hearings conducted in executive session. While hearing topics and proceedings are always kept private, we understand that hearings, particularly those involving resident on resident complaints, can easily run off track. We are pleased to report that the residents who appeared in these hearings were prepared, thoughtful, and reasonable.
As you can see around you, Willowsford is filling up faster than expected. At current buildout rates we could anticipate reaching the threshold where the Founder (Developer) relinquishes control within 12 to 18 months. This milestone is significant since the Willowsford community would elect all five HOA board members. Several key things on our agenda are to conduct a careful review of HOA documents and to establish active resident participation on the Design Review Committee. 2018 Deer Management Program Begins October 6th

To help manage the overpopulation of deer, Willowsford Conservancy’s deer management program continues in The Greens and The Grant.  Following VA state guidelines, archery hunting of deer on Conservancy property will be underway from October 6 – November 11 in The Grant, and from October 6 – November 30 in The Greens.  All trails will remain open during archery hunting.  

Archery hunting takes place from dawn to 10 a.m. and from 3 p.m. to dusk.  Residents must observe posted signs, stay on trails and keep dogs leashed.  There will be no archery hunting between 10 a.m. – 3 p.m.  

Trails will be closed during four brief firearms hunting periods, including November 12–16 (The Grant); December 4–7 (The Greens and Grant); December 18–21 (The Greens); and January 1–4, 2019 (The Greens and Grant).  Special ALERT e-mails, notifications in the Willowsford Weekly, and trail signage will alert residents before and during firearms hunts.

Photography Reminder

For many residents, fall ushers in football season and homecoming for high school students.  We hope your young adults have a fantastic season and enjoy the festivities of homecoming. We understand parents and students enjoy taking homecoming photos at Willowsford. Before doing so, please review and observe the following parameters: Willowsford amenities, including Willow Lake and Pier are private for Willowsford residents only and their invited guests (up to 4 guests maximum). Other amenities, such as The Lodge and Sycamore House interiors/patio areas are not available for group photos. For more information regarding the Photography Policy, click here

Bus Stop Reminder

We have received several resident reports requesting that we ask parents who drive their children to the bus stops not to park too close to crosswalks and bus stops to allow for better visibility for children to cross the street safely.

Community Update Meeting 

The Willowsford Development Team has scheduled its next Community Update meeting for October 16th at 6:30 PM at The Lodge. Staff from the Willowsford Development Team will discuss their most recent progress on projects and improvements for the community. Residents are encouraged to register to give the HOA an accurate head count for preparations. Register here.

Community Standards Inspection Reminder

Drive through inspections are completed in each Village weekly and a comprehensive lot inspection is performed every 18-24 months. The following sections in The Grove can expect to see Fatima and Kirk over the next few months: Grove 8B, 9A, 9B, 9C, 10A, 10B, 11A1, 11A2, 11B. Click here to determine what section your street is in. Kirk and Fatima will be dressed in Willowsford Gear and/or wearing an ID lanyard. You can expect to see them taking pictures and walking along the property.

Board of Directors Meeting 

The Board of Directors meets every other month. The next board meeting is scheduled for Thursday, November 8th at 5:30 PM at Sycamore House. Open session and resident comment period expected to start at 6 PM.

Willowsford Social Club: 4th Annual "Deck the Hall's" Classic Rock n' Roll Concert & Poolside Party

Saturday, October 13 from 6 to 10 PM. Please note that the location may change to The Lodge at Willow Lake from 5:30 to 9:30 PM if there is a large RSVP response and/or if it rains. A final decision and notice will be sent out on or about 10/9/18.

Please join us for the fourth annual "Deck the Hall's" Classic Rock n’ Roll outdoor concert and pool side party hosted by the Hall’s. The Beltway Rockers Band, led by lead singer and our own Willowsford Grant resident, Gary Dennis, will be playing in our rear yard by our pool, pavilion and fireplace. They will be playing a number of our favorite classic rock hits by the Rolling Stones, Prince, Van Morrison, Kinks, Beatles, Chicago and much more during their 4-hour concert.  We will have chili, ziti, wine, water and soda. Please bring a dish or dessert to share and bring your own adult beverage, lawn chair and your dancing shoes as you rock the night away to the groovy tunes.  Feel free to also bring your swim suit and a towel as our pool will be open and heated. This is an adults-only event.

Community Bonfire & Camp-Over

Join Willowsford Conservancy for our annual community bonfire and camp-over at the new Hidden Meadow Event Field in The Greens. The bonfire is from 6 to 9:30 PM with live music from 6:30 to 9:30 PM. Please bring a dessert to share. 

Registration includes: Barbeque from Willard’s Pit BBQ in Chantilly, sides and hot beverages. And S’mores, of course. Anyone camping over will be treated to coffee/hot chocolate in the morning. Tents may be set up starting at 2 PM. Cocoa and coffee will be served Sunday morning at 8 AM.

When: Saturday, September 29th at 6 PM 
Where: The Greens Hidden Meadow Event Field
Directions: From Grassland Grove Drive, turn onto Tulip Poplar Place. Then, turn onto Cameron Walk Place. Turn left on Shasta Daisy Ct. (Shasta Daisy is after the last house on the left). Make an immediate right turn before the first house on the right. Look for signs to the parking area.
Cost: $18 per person; children 4 and under are free. 

Forest Wildlife Exploration - Nature Walk

Trees provide important habitat – both alive and when dead. Did you know that standing dead and dying trees, called “snags”, are a vital resource for many animals? Woodpeckers, chickadees, screech owls, bluebirds, American kestrels, flying squirrels, bats, raccoons, bears, treefrogs, bees, and many others use cavities for nesting, storage, shelter, feeding and perching. Live trees with snag-like features, such as hollow trunks, cavities and dead branches, provide similar wildlife value. We’ll begin at Sycamore House with a presentation and continue in the field to investigate some of these trees and the wildlife that uses them.

Presenter: Kevin Rose, District Wildlife Biologist, Virginia Department of Game and Inland Fisheries. A Certified Wildlife Biologist and Ecologist, Kevin enjoys both research and management of natural resources. He holds a BS degree in Wildlife Sciences from the Auburn University School of Forestry and Wildlife Sciences, and a MS in Forest Resources from the University of Arkansas, School of Forest Resources.

When: Wednesday, October 10th from 5:30 to 7:30
Where: Meet at Sycamore House Multipurpose Room
Wear: Please wear hiking shoes and dress for the weather; bring binoculars if you have them.
Registration Required: Limited to 20 participants ages 8 and older
